How to set up the report definition of the request for quotation

If you want to work with requests for quotations, your system must be set up accordingly. You sequentially set up the process numbering, the report definition, and the layout. This article explains how to set up the report definition of the purchase request for quotation in MKG.

 


 

Each report in MKG consists of at least a report definition. This forms the basis of a report. The report definition contains the general information of a report, such as the description, the category, and the export target. After you have checked and possibly adjusted the process numbering of the request for quotation, you set up the report definition. You can do this quickly and easily using the step-by-step plan below.

 

 

Step 1: Go to the report definitions

 

Open the Report Definitions module. You will immediately enter the list of existing report definitions. First, check whether the report definition for the request for quotation already exists. If not, proceed to step 2.

 

 

Step 2: Create a new report definition

 

Click on Report Definition

. A new empty line will be added to the list of report definitions. You can enter the desired information of the definition directly in the list, but we recommend using the detail screen. The detail screen is displayed by default, but if not, you can add the screen yourself. Expand the instructions below to see how to do this.

 

How to add the detail screen
  1. Right-click somewhere on your screen.
  2. Select 'List settings' and then 'Detail'.
  3. Select the option you prefer. 'Bottom' is generally used to display the detail screen at the bottom of the screen.

 

 

Step 3: Fill in the detail screen of the report definition

 

Now fill in the following fields in the detail screen. It is important to follow this order:

  1. Enter a relevant description in the Description field, for example, 'Supplier Request for Quotation'.
  2. Search for the document 'Supplier Request for Quotation | 243 | iofh' in LDM Document.
  3. Set up the Target Structure. Clicking in the field opens a pop-up window:
    1. Select 'Email' as the Target option.
    2. Type the following in the File field: 'Request for Quotation [iofa_num].pdf'.
    3. Click OK to close the 'Report Export' window.
  4. Select Purchase Request for Quotation (8653) for XtraReport.
  5. Select 'DevExpress' as the Data Source option.
  6. Set the Category to 'Purchase'.

 

Step 4: Save the report definition

 

If you have correctly filled in all the information, click Save

in the top left of the button bar. The report definition is now set. The next step in setting up the system for the request for quotation is setting up the layout.
