How to quickly create an item

Do you create products that you think you will sell more than once? Make it an item. In MKG, this can be done very easily from an existing sales quote or sales order. It saves a lot of input work when creating the next one, especially if you have an associated calculation that you can use as a bill of materials.

You can quickly create items from the sales quote and sales order. Suppose you want to create a new quote or order for a product that you have made before and expect to make more often. First, find the existing quote or order for this product and use it as a basis.

Step 1: Open an existing quote or order

Open an existing quote or order. It must consist of a description line (not an item). On the 'Pricing' tab in the line, you can see if and, if so, to which calculation this line is linked.

Step 2: Click on 'Create item'

Above the line, you will find the button Create item

. Clicking this button opens the 'Create item' window:

  • Create item. You can enter a unique item code here. If you have entered a drawing number in the line, it is presented here by default.
  • Prices. You can set the price as a sales price agreement here, both generally and for the debtor. A price agreement always requires a start date. Is there a calculation present? Then this price can be taken as the net price of the item.
  • Batch size. The number of products on the line can be saved here as the batch size of the item. The batch size is the quantity produced at one time.
  • Bill of materials. You can make the connection with a bill of materials here. Options: None, New bill of materials, Existing bill of materials.
  • Process groups. These are for financial processing: what bookings take place at different times?

Step 3: Create the item

By clicking OK, the item is created. Now open the module Items, where you can find the newly created item.

Working with or without items
It is not mandatory to work with items in MKG. Working without items means less maintenance. But... do you keep track of inventory or plan to do so, make regularly recurring products, make price agreements, make calculations and/or bills of materials? Then you cannot avoid working with items. Working with items means that you can record and maintain important data:

  • Properties: descriptions
  • Type: purchase, sale, or production
  • Inventory: free, shelf, or economic
  • Price agreements: purchase or sale
  • Financial processing: the different process groups
  • Pricing system: fixed transfer price (FTP) or actual transfer price (ATP)
