How to set up the purchasing groups

To link actions in the logistics processes of MKG to financial bookings, you can use 4 process groups: for sales, purchasing, stock, and production. The settings of the purchasing group(s) can be found in the process table 'Purchasing Groups'.

Purchasing groups are intended to make a financial distinction between goods and/or outsourcing already received and invoices yet to be received. Purchasing groups are not necessarily used in a financial basic setup. However, it is important to set the general ledger accounts of the purchasing process to 'General Ledger Account MKG'. The settings of the purchasing group(s) can be found in the process table Purchasing Groups.

Outsourcing

Purchasing groups can also be used for better insight into purchased outsourcing. You can split outsourcing into purchasing capacity and purchasing post-processing. In such a setup, 3 purchasing groups arise:

  • Standard Purchase. Material for orders: all accounts on 'General Ledger Account MKG (9999)'.
  • Capacity Purchase. Intermediary account outsourcing on cost price turnover (700X).
  • Post-processing Purchase. Intermediary account outsourcing on cost price turnover (700X).

Note!
The intermediary account 'Outsourcing' on the purchasing group overrides the intermediary account 'Outsourcing' on the administration settings.

If desired, you can book all purchases on one account. To gain better insight into the types of purchases, you can choose to use separate general ledger accounts for the purchase of material, for the purchase of outsourcing, and for purchases due to lack of capacity within the own organization.

Linking purchasing groups to outsourcing
If 3 purchasing groups are chosen, they can be linked to operations involving outsourcing. Depending on whether or not there is a split in the type of outsourcing, the post-processing, own operations, and operations that are outsourced should be created. Where necessary, these should be linked to the corresponding purchasing group.

Financial Mutations

If the administration setting 'Upon goods receipt' is checked, a financial mutation is recorded at the moment goods are booked in process.
