How to use the 'Create Hours' function?

In the 'Time Registration' module, you will find the 'Create Hours' button. This allows you to copy multiple time entries for multiple employees over a larger period. In this article, you will learn about the options available for creating hours and how to properly configure the fields.

 


 

When you are engaged in time registration, you have various options for creating or copying time entries. One of these is the Create Hours button. When you click this button, a pop-up screen appears. By filling in the fields in this screen in the desired manner, you can copy time entries.

The top field in the screen is Copy from. You always fill in this field first, because the other fields change based on what you select here. Through this field, you can choose to copy already entered time records from one employee to another employee (option 'Employee') or to copy an operation code to one or more employees (option 'Operation').

Below, you will see for each option in which situation the option is useful and how to fill in the corresponding fields in the pop-up screen.

 

Copy from Employee

 

Suppose you recently entered 2 weeks of summer vacation as leave for employee A via manual time registration in MKG. Employee B also has 2 weeks of vacation planned, and these days still need to be filled in. It is then useful to copy from an employee.

Here's how you do it:

 

1 Select in the 'Copy from' section the employee whose time records you want to copy. You can only select employees who are active in the Employees module.

Determine in the 'Source period' section which period you want to copy:

  • Copy single day: Check this option if you want to copy 1 day and uncheck the option if you want to copy a longer period (2 or more days). If you choose more days, these can only be consecutive days.
  • Copy daily schedule: Determine whether you want to copy the daily schedule of the previously selected employee. If you check this option, the applicable daily schedule of the relevant employee will always be considered. Therefore, do not check this option if the employee you are copying to has a different schedule.
  • From: Choose your date range here. If you are copying a single day, you only need to fill in a single date here. If you are copying multiple days, fill in the start date and the end date of the period.

Choose in the 'Target period' section to which period the source should be copied.

  • Same as source date: If you check this option, the date of the target will be the same as the date of the source. You then copy exactly the same period. If you uncheck the option, you can enter a date range for the new entry yourself.
  • From: Choose your date range here. You only need to do this if you have unchecked Same as source date
4 Select in the 'Copy to' section in the Employees field at least 1 employee to whom the hours should be copied.
5 Click on OK.

 

 

Copy from Operation

 

Suppose it is almost December 25th (Christmas Day) and all employees are off that day due to the holiday. This time entry still needs to be entered for everyone. It is then useful to copy from an operation.

Here's how you do it:

 

1 Select in the 'Source' section the operation with which you want to generate new time records. You can only select operations that are active in the Operations module.

Select at Fill hours based on the desired input. The other fields in the 'Source' section change based on what you select here. These are the options:

  • Daily schedule: This allows you to choose the valid daily schedule from the calendar service schedule of the selected employee. Only check the corresponding field Fill in unaccounted days if the time in the daily schedule is insufficient to account for the entire workday. MKG will then automatically fill in the missing time.
  • Start and end times: Use the fields Time from and Time to to enter the start and end time in clock hours (for example, from 12:00 to 16:00). If you check the option Insert hours within daily schedule, MKG will consider the daily schedule, so the entry becomes part of the day registration. 
  • Total times: Use the field Number of hours to enter the total number of hours in hours, minutes, and seconds (for example, 2:30:00). 
3 Choose in the 'Target period' section whether you want to create the hours for 1 day or for a longer period. If you want 1 day, enter the same date in both fields. If you want to select a longer period, enter the first and last day of that period. This period must consist of consecutive calendar days.
4 Select in the 'Copy to' section in the Employees field at least 1 employee to whom the hours should be copied. You can only select employees who are active in the Employees module.
5 Click on OK.
