How to Manually Register Hours in MKG?

While we strive for digital time registration whenever possible, it is also possible to manually process hours in MKG. No software extensions are required for this, and employees do not need to perform additional actions. All you need is access to MKG with an office license. In this article, you will learn how to set up manual time registration and what the content of the Time Registration module exactly means.

Preparation

There are several preparatory steps needed to use time registration, whether the hours are registered manually or digitally. If you want to book hours for an employee, that person must be set as an employee in the Employees module. Then a calendar service schedule must be linked.

Note!
Direct hours can only be booked on a production order. If you do not work with production orders, it is only possible to register indirect hours (such as leave, illness, and maintenance). A post-calculation per project is then not possible. Do you want to book direct hours and start working with production orders? Then contact your consultant.

Filling in the Basic Data

Open the Time Registration module and fill in the following fields:

  • Employee: Choose an employee from the list.
  • Date: By default, yesterday's date is filled in, but you can manually adjust this date, and it is possible to change the default entry through the administration settings from 'Yesterday' to 'Today' or 'Do not fill in'.
  • Processing: Choose whether you want to register hours with total times or by using start and end times.
  • Range: Choose here whether you fill in and check the hours per day or per week. If you choose 'Week', the filled-in date indicates the first day of the relevant week.

Record your preferences
In the administration settings, you can adjust the defaults for Processing and Date. In MKG3, you do this via the fields Time Registration based on and Default entry date. In MKG5, you do this via Registration default based on and Default entry date.

Administration Settings
MKG3: Shopfloor » Time Registration
MKG5: Time Registration » General » Registration default based on / Enter hours

Choosing an Entry Method

Depending on the chosen processing, the list view is adjusted so that only the necessary fields are visible, namely:

  • Total Times: The total number of hours worked (e.g., '2.5 hours').
  • Start and End Times: The worked clock hours (e.g., from 10:00 to 12:00).

In addition to the 2 types of time registration, there are mainly 2 types of hours that can be registered:

  • Direct Hours: Activities for a production order.
  • Indirect Hours: Absence due to leave/illness or other activities (such as cleaning up).

There are a total of 4 entry possibilities explained below. If you click on the text or the arrow before the text, an explanation is expanded showing the necessary steps to set up this entry possibility.

Direct Hours + Total Times
  1. Create a new time record by clicking on Hour
. Since a date is already selected at the top, it is automatically filled in on the line.
  2. Select a production order number from the list.
  3. If this production order contains only 1 semi-finished product (end product), this semi-finished product is automatically filled in the next field with the same name. If there are multiple semi-finished products, you must make a choice for the correct semi-finished product during entry.
  4. The column Operation VC shows the already filled operations from the production order of the relevant semi-finished product. Choose the desired operation here.
  5. In the column Man time total, enter the worked time. This can be in hours (h), minutes (m), seconds (s), or a combination thereof.
  6. The day schedule is automatically filled based on the linked service schedule (a day schedule is set for each day). Confirm the entry of the time record with the Save
    button.

Tip!
If the operation VC includes the operation for machine A, but the work is ultimately done on machine B, select the original machine A in the Operation VC column and manually overwrite the next field Operation with machine B. This way, you know afterward on which machine production actually took place, and you can assess whether you want to adjust this somewhere in your process (e.g., in the bill of materials). If no operation is specified in advance, leave the Operation VC field blank and note the operation in the Operation field.

Direct Hours + Start and End Times
  1. Create a new time record by clicking on Hour
. Since a date is already selected at the top, it is automatically filled in on the line.
  2. Enter the start time in the Time man from field and the end time in the Time man to field of the relevant operation. These are clock times, such as from 10:00 to 12:00.
  3. Select a production order number from the list.
  4. If this production order contains only 1 semi-finished product (end product), this semi-finished product is automatically filled in the next field with the same name. If there are multiple semi-finished products, you must make a choice for the correct semi-finished product during entry.
  5. The column Operation VC shows the already filled operations from the production order of the relevant semi-finished product. Choose the desired operation here.

Indirect Hours + Total Times
  1. Create a new time record by clicking on Hour
. Since a date is already selected at the top, it is automatically filled in on the line.
  2. Choose the correct operation in the Operation field. Select an operation code that mentions 'indirect' in the description or relates to one of the other absence reasons. These are different operation numbers than those used in production orders. Reasons for absence often start with a '9' in the operation numbering.
  3. In the column Man time total, enter the total time. This can be in hours (h), minutes (m), seconds (s), or a combination thereof.
  4. The day schedule is automatically filled based on the linked service schedule (a day schedule is set for each day). Confirm the entry of the time record with the Save
    button.

Note!
Indirect hours are never registered on production orders. Therefore, the following fields are not filled in when using this entry method: Production Order, Semi-finished Product, and Operation VC.

Available Buttons

The Time Registration module contains various buttons. Some buttons, such as New

, are common and need no explanation. Some buttons, such as Delete
, are also self-explanatory, but in this module, they are not clickable under certain circumstances. Other buttons, such as Create Hours
, have a very (module) specific or extensive function. For the buttons that have a specific function or condition in this module, you will find an explanation below for each button. Click on (the arrow before) the button name to expand the corresponding explanation.

Process Provisionally

This button allows you to directly move the entered time records to the next status, 'Provisionally Processed'. You can also use the action list for this.

Create Hours

This button allows you to copy multiple time records for multiple employees over a larger period. When you click this button, a pop-up screen appears. You then have the option to copy already entered time records from one employee to another employee or to copy an operation code to one or more employees. This is useful, for example, if you want to copy employee A's vacation period to employee B or if you want to register a collective day off for all employees. In this article, you can read in detail how to set up the 'Create Hours' pop-up for both options.

Backup

This button is only in MKG5. With this button, you create a manual backup of your time records (a backup is always saved during digital time registration). Through a backup, you can always restore the originally booked records. Keep in mind that earlier (manual) changes will be undone.

On the 'Details' tab, you can see in the Origin field how the hours were originally entered. There are 3 possibilities:

  • Shop Floor: All hours clocked via Shop Floor.
  • Time Management: All hours entered manually.
  • API: The hours entered via the app.
Action List

This button takes you to the Action Lists module. The 'Hours' section is already expanded, but you may need to select the desired action list yourself.

Delete

With this button, you can delete an entered time record, depending on the status of the rule. If the status has progressed too far to delete the rule, but you still want to cancel the rule, use the To Initial button to reset the status to 'Initial' (the first possible status). Before a rule is permanently deleted, confirmation is always requested to prevent errors.

To Initial

This button is available during the provisional processing of hours, not during the final processing. With this button, you can reset the status of a rule to 'Initial', the first possible status. Rules that were previously too advanced to be edited become editable again.

Reverse Booking

This button is only available if the time record has already been processed definitively, not during provisional processing. The rule can no longer be modified in the normal way. But with this button, you reset the status to the first possible status, 'Initial', so you can still edit the rule. To prevent errors, confirmation is requested when you click this button.

Working via the Detail Screen

In the input as described above, we use the list view. But it is possible to work via the detail screen. The detail screen may already be visible. If not, add it by right-clicking in the list » List Settings » Detail » Below.

In the detail screen, additional tabs are available with partly the same information (such as the 'General' tab) and partly additional information (such as the 'Day Overview' and 'Week Overview' tabs).
