How to create a manual sales invoice

Manual sales invoices are invoices that are sent entirely outside of the process. Examples can be found in the sale of (depreciated) company assets and the lending or renting of company assets that are not recorded in a sales order. However, you must still record the revenue.

 


 

A manual sales invoice does not originate from the sales order process. The invoice lines will need to be created manually. Creating a sales invoice results in an outstanding item with debtors. The customer owes you money. Follow the steps below to create a manual sales invoice and generate the report Sales Invoice (8403).

 

 

Step 1: Create a new sales invoice

 

Open the module Sales Invoices and click on the New Invoice button on the module start page

. The sales invoice is already set to 'Manual' by default.

 

 

Step 2: Select the debtor

 

Select the debtor in the Debtor field in the sales invoice header.

 

 

Step 3: Create the invoice line

 

Click on Invoice Line

in the sales invoice line. First, select the General Ledger Account where the revenue should be recorded. Then adjust the Description. Enter the agreed price excluding VAT in the Amount Manual field.

 

 

Step 4: Check the draft invoice

 

The sales invoice header and line are now filled. Check the draft invoice. Go to the 'General' tab and adjust the Payment Condition there if necessary.

 

 

Step 5: Create the sales invoice

 

Click on Save

. You can print the report Sales Invoice (8403) if desired. The manual sales invoice is created and automatically results in an outstanding item in Open Debtor Items.
