How to add a contact to a relation

You can add contacts to a created relation. The positions of these people partly determine the role they play in your processes. In this article you can read how to add contacts to a relation in MKG.

 


 

Do you have a business card from your relation? This usually contains the details of the contact. The lines are showed under a relation header. In MKG you enter the details of the contacts at line level; after all, a relation can have multiple contacts. Follow this step-by-step plan to add a contact to the relation card.

 

 

Step 1: Go to the 'Contacts' tab

 

Search and select the relation to which you want to add contacts on the module homepage. The relation card opens, and the relation header is filled with general information.

Go to the 'Contacts' tab. This tab is now empty: there is No data available. You can also see the number of added contacts of this relation in the tab label.

 

 

Step 2: Create a contact line

 

You can now add one or more lines on this tab. Click on Contact

to create a line. A list now appears on your screen. This list contains the most important fields.

 

Contact Maintenance
You can now, of course, enter the details in the list. This list contains several standard fields. Double-click before the line. This opens the contact maintenance screen, providing you with more input fields and a better overview of the checkboxes.

 

 

Step 3: Enter personal data

 

In the 'Contact' section, you can enter the Initials, First Name, Infix, and Last Name.

In the 'General' section, you will find fields such as Title, Function, and Language. These fields are filled from the Titles, Functions, and Language Codes tables. By filling in the Letter Salutation and Address Salutation fields, you automate the salutation in correspondence with this contact.

In the 'Contact' section, you can enter the extension number and mobile phone number. By checking and filling in the Own E-mail box, your report goes directly to the contacts mailbox.

 

 

Step 4: Add the contact

 

Click on Save

. This adds the contact to the relation.

 

Add another contact person?
Does the relation have multiple contacts? Repeat the previous steps for each additional contact you want to add to the relation. A department is also a contact in MKG.

 

 

Step 5: Navigate to the 'Relation'

 

Have you added one or more contacts? Use the navigation bar to return to the relation. On the 'Contacts' tab, you will see the added contacts listed in order. You can now set a contact as the default contact for your process documents, such as the quote, order confirmation, packing slip, and invoice. How to do this is explained in this article.
