How to turn a relation into a debtor

For offering a sales quote, your relation does not need to be a debtor yet, but to create a sales order it does. In this article, you will learn how to turn a relation into a debtor. This can be done directly from the 'CRM' module.

 


 

In MKG, the relation forms the basis for a debtor and/or creditor. From the CRM module, you can directly turn a relation into a debtor. To do this, you use the 'Sales' tab. You can read how to do this in the step-by-step guide below.

 

 

Step 1: Select the relation

 

Search or select the relation on the module homepage.

 

 

Step 2: Go to the 'Sales' tab

 

The relation card is open. You will land on the 'General' tab. Now, go to the 'Sales' tab. The 'no' on the tab label indicates that this relation is not yet linked to a sales quote or debtor. Expand the 'Debtors' section if necessary.

 

 

Step 3: Create a new debtor

 

Now click on Debtor

. MKG will automatically open the Debtors table. You will land on the 'General' tab. Since this table is opened from the relation, the fields Relation and Company Name are automatically filled in the header.

 

 

Step 4: Fill in the Chamber of Commerce number

 

It is legally required to mention the Chamber of Commerce number on quotes, orders, invoices, and business letters and e-mails. Enter the 8-digit Chamber of Commerce number of the relation in the Chamber of Commerce no. field on the 'General' tab.

If you do not know the Chamber of Commerce number of the debtor, you can look up the number of any company in the Chamber of Commerce Register.

 

 

Step 5: Fill in the financial details

 

Go to the 'Financial' tab. Expand the 'VAT' section if necessary and fill in the VAT no. field with the VAT number of the relation. Then, expand the 'Banks' section and fill in the bank details, such as the Description, the IBAN, the BIC, and the Location of the bank.

 

 

Step 6: Create the debtor

 

Click Save

. The debtor is created. Navigate to the Relation and click Refresh
. The label on the 'Sales' tab now indicates a 'yes' and also the Relation Card (8000) report shows the debtor details. You can now create sales orders and sales invoices for this relation.
