How to create a debtor

In order to create a sales order, your relation in MKG must be a debtor. In the 'Debtors' table, you manage the financial data of your customers. This article explains how to create a new debtor from this table in MKG.

 


 

When creating a new sales order or converting a sales quote to an order, your relation in MKG must be a debtor. The information needed to create the debtor includes the Chamber of Commerce number, IBAN, and VAT number. Follow the steps below to create a debtor.

 

 

Step 1: Create a debtor

 

When you open the table, you will be taken to the module homepage. To create a debtor, click on New under 'Actions'.

 

 

Step 2: Select the relation

 

Select the relation in the 'Relation' field. If the correct relation is not available for selection, you need to create a relation first.

 

Create a debtor directly from the relation?
If you have just created a relation and want to immediately turn this relation into a debtor, you can do so in the CRM module. Open the relation card and go to the 'Sales' tab. The 'no' on the tab label indicates that this contact is not yet linked to a sales quote or debtor. Expand the 'Debtors' section if necessary. Then click on Debtor. MKG will automatically open the Debtors table. The fields Relation and Company Name will be automatically filled in the header. Check the article How to turn a relation into a debtor.

 

 

Step 3: Enter the Chamber of Commerce number

 

It is legally required to include the Chamber of Commerce number on quotes, orders, invoices, and business letters and e-mails. Enter the 8-digit Chamber of Commerce number of the relation in the 'General' tab in the Chamber of Commerce no. field.

 

Unknown Chamber of Commerce number?
If you do not know the Chamber of Commerce number of the debtor, you can look up the number of any company in the Chamber of Commerce Register.

 

 

Step 4: Enter the financial details

 

Go to the 'Financial' tab. Expand the 'VAT' section if necessary and enter the VAT number of the contact in the VAT no. field. Then expand the 'Banks' section and enter the bank details, such as the Description, IBAN, BIC, and Location of the bank.

 

 

Step 5: Create the debtor

 

Click Save. The debtor is created. Navigate to the Relation and click Refresh. The label on the 'Sales' tab will now show a 'yes' and the Relation Card (8000) report will display the debtor details. You can now create sales orders and invoices for this relation.
