How to Process Already Entered Time Records?

If time bookings have been made (manually or digitally), these hours must be checked and processed in MKG for proper handling. This article explains the best way to do this and what information is available in MKG after processing.

After creating a time record, it is initially assigned the status 'Initial'. This is the first status a time record can have. Direct hours are already visible as NC hours on the production order in this status. However, all hours (direct and indirect) must be further processed for final handling. This occurs in two consecutive steps:

  1. Preliminary processing of the hours
  2. Final processing of the hours

You can find 'Preliminary processing' and 'Final processing' under the Hours action list. In the action list, you also have an overview of the hours that still need to be processed per step. You can also obtain overviews of hours via Consult Hours and Employees. Below, you can read how to process preliminarily, how to process finally, and how to create these overviews.

Tip!
Add the two action tiles for preliminary processing and final processing to your homepage, so you always have insight into the status of the hours. Read here how to customize your homepage.

Preliminary Processing

Go to the 'Preliminary Processing' action list. Processing is done simply by checking the desired rows in the list and clicking on Save

in the upper left corner.

Ensure that no data is missing based on the schedule and input when processing the hours preliminarily. MKG also checks the input for correctness and completeness of the data, considering the schedule's filling. If something is incorrect, an error message will appear in the action list for the relevant row with the reason (e.g., 'forgot to clock out' or 'not enough hours booked to fully account for the day'). However, MKG does not check whether you have booked on the correct production order and whether the correct number of hours has been booked. Therefore, verify this input yourself.

Note!
If you are using the regular MKG software or Shop Floor, keep in mind that only employees with an MKG Office license who have access to the Time Registration module can still adjust data at this step (for example, when starting late or choosing the wrong operation). If you are using the app, you can still adjust the data.

If there are no error messages or if all error messages have been resolved, the hours are preliminarily processed. We recommend processing the hours preliminarily on a daily basis. If data is missing, you can immediately inquire with the employee. Experience shows that these data are more challenging to retrieve if too much time passes.

Final Processing

All preliminarily processed hours automatically appear in the 'Final Processing' action list. Final processing of hours is done the same way as preliminary processing. Check the desired rows in the list (or check the checkbox at the top of the column to select everything) and click on Save

.

This is the final step for time processing. You can perform this step, for example, monthly in preparation for payroll administration. After this step, the value of the production order is also included in the post-calculation.

Consult Hours

The Consult Hours module shows a list of all booked hours, regardless of their status. In this module, you can easily search for a specific time record. Use filters and views to quickly assess the correct data.

Employee Overview

After the final processing of the hours, it is possible to view an overview of the hours per employee and per period.
Go to the Employees module and select the relevant employee. Click on Preview

. Then, in the preview, click on Reports and choose Employee Overview (8508). Each page of this report shows the data of the employee for the selected period. Using the parameters, you can indicate whether you also want to see the details per day or only the total balance.
