How to Create a Sales Line?

Sales quotes and orders consist of a header and one or more lines. The header records the general information applicable to all lines of the quote/order. The lines contain the details of the sales products. This guide explains how to create these lines. The process is almost the same for sales orders and quotes, making the guide useful for both modules.

What is in a line

 

In a quote/order line, details such as description, quantities, and price of your products are recorded. You can create a line by description or enter an item. Each line can be processed separately in MKG. Steps and actions often do not need to be performed for the entire quote or order at once.

 

How to create a line

 

Create the line

Open a new sales quote or sales order and fill in the header. Then click on the 'Lines' tab and click New 

to create a line. Once the first line is added, the header is automatically saved.

 

Define the product

After creating the line, double-click to the far left of the line to open it and fill in the following fields:

  • Item: This is an optional field. Here you can enter an item that is then loaded into the line. The other fields are then filled with the data recorded in the item.
  • Description 1 to 3: A line can also be created with a description only, without selecting an item. In the description, you describe what the product is. If one description field is not enough, the fields Description 2 and Description 3 are also available. These fields can be used to split the product description or to provide more space if it is a long description. If that is not enough, you can provide more explanation in an external memo. 
  • Order: This is an optional field. With this, you can, if you wish, create a different order in which the lines are displayed. This only affects the display in MKG, not the order in the document. We recommend keeping this field the same as the Line field.
  • Order code: The order code of the product.
  • Drawing: The drawing number of the product.
  • Revision: The revision number of the drawing.
  • Pos: The position number of the product on an assembly drawing.
  • Order quantity: Number of products ordered. You can select the relevant unit here (such as 'pieces' or 'meter').
  • Gross: The gross selling price of the product per unit.
  • Your reference: The applicant's reference. MKG checks for duplicate customer references.
  • Your order number: The customer's order number.
  • Desired delivery date: Latest date by which the products must be delivered. If the actual delivery date is changed, it is thus possible to see when the originally desired delivery date was.
  • Delivery date: Latest date by which the products are delivered.
  • On calculation: Only available for orders, not quotes. This checkbox indicates that the product is sold on calculation. If the gross price of the line is 0.00, 'Price on calculation' will appear on the order for that line.
  • VAT: The VAT percentage applicable to the line.
  • Sales group: Sales group to which the product is linked. (see Setting up Sales Groups)
  • Internal memo: Text field for internal communication about the line. 
  • External memo: Text field to present a detailed description or standard text on the quote/order confirmation.
  • Gross: The gross selling price of the product and the unit.

 

Note!
The fields Your reference, Your order number, Desired delivery date, and Delivery date are usually taken from the header. However, if they differ per line, the field on the line takes precedence. To align the contents of the fields with the header, it may sometimes be necessary to synchronize them.

 

 

In the default view of the list of lines in the quote/order, the most important fields are already visible by default. You can also add or remove fields here, so you immediately see the fields relevant to you. It is also possible to fill in lines via the list view. You can then navigate through the fields in the list with the tab key to fill them in even faster.

 

Save the line

If all fields are filled in correctly, click above the line on Save 

to save the line. If you tab to the next line, the previous line is also saved. Now the necessary actions for the line can be performed.
