How to create an audit file

Using an audit file, you can submit all financial mutations of an administration to your accountant. Always coordinate which fiscal year it concerns, whether the file should include or exclude processed mutations, and which version of the audit file your accountant wishes to receive.

 


 

Audit files are created per administration. The financial mutations of this administration are then processed into an XML file that can be read by an (external) accountant. This step-by-step plan explains how to create an audit file.

 

 

Step 1: Select the administration

 

Search and select the correct administration on the module's start page. You will land on the 'General' tab of the administration. In the lower left of your screen, check which fiscal year is active.

 

 

Step 2: Create the audit file

 

Click on Auditfile . The 'Create audit file' window appears:

  • Select the desired Fiscal Year.
  • Indicate whether the file should include or exclude processed mutations.
  • The File field indicates the file location. Optionally choose a different folder.
  • Select the desired Version: 2.0, 3.0, or 3.2.

Click on OK. The XML file (.xaf) is created, and the accountant can now read this audit file.

 

Note!
Always coordinate with your accountant which fiscal year it concerns, whether the file should include or exclude processed mutations, and which version of the audit file they wish to receive. With XML Auditfile 2.0 (XAF), only processed bookings are included in the export. When creating it, it is split into files of 60 MB to 69 MB. With XML Auditfile 3.2 (XAF), there is an option to include unprocessed bookings in the export and whether the file should be split or not.
