How to Manage Document Categories?
If you link and store many different types of documents in MKG, it can be useful to create a number of document categories. This way, different types of documents (such as emails, drawings, certificates, and other attachments) can be easily and clearly bundled within a category. It is also possible to place a document in multiple document categories, so you can easily align the organization with your needs.
Creating a Document Category
Open the Document Categories module and click on New
to create a new category. A new line will then be added to the list. Fill in the following fields (this can be done directly in the line or at the bottom of the detail screen):- Order: Use this field to determine whether this category is displayed at the top or bottom of the list of all categories when you want to link a document.
- Category: This is the number by which the category will be recognized. Always enter a unique number in this mandatory field. It is not possible to use duplicate numbers, as a category cannot appear twice.
- Description: Choose a short description for the category. Here you can give the category a name so that you can easily see what the category entails.
- Memo: This text field can be used to provide additional information to supplement the description.
- Category in mail: If you check this box, you can easily send linked documents from this category as email attachments. Note: To actually send documents from a category as an attachment in an email, the mail settings of the relevant process must always be adjusted.
- Active on Shop Floor: If you check this box, the documents from this category will also be visible to employees in the workshop if they have access to MKG Shop Floor.
Once you have filled in all the fields, click on Save
.
Managing Document Categories
It is always possible to edit or delete document categories. This can also be done directly in the list view or via the detail screen. This way, you can easily ensure that your categories meet your needs.
- Edit: If you want to change a particular field, you can simply select that field in the list and enter the new information. The same applies to checking or unchecking the fields with checkboxes.
- Duplicate: With the buttons in the menu bar, you can also copy an existing category . You do not need to fill in all the fields as with a new category and only adjust the necessary fields.
- Delete: Of course, it is also possible to delete a category. To do this, select the line you want to delete and click on Delete in the toolbar at the top.
When you are finished editing, duplicating, or deleting, click on Save
to save your changes.
